SYSTEM REQUIREMENTS

What version of Microsoft Office Outlook do I need in order to use Filer?
Filer supports Microsoft Outlook 2003, 2007, and 2010.
Can I install Filer on multiple computers?
Yes, Filer can be installed and used simultaneously on multiple computers. However, Filer shares recommendations and Topics across computers only if you have a Microsoft Exchange email account, which isn't typical for most home or personal computer users.


FILER FREE TRIAL/LICENSING

What is the duration of Xiant Filer's free trial period?
The free trial period for Xiant Filer lasts 30 days from the initial installation date.
What happens after the Xiant Filer trial period ends?
The Filer add-in becomes disabled at the end of the trial period, although the Xiant Filer toolbar or Ribbon tab continues to appear in the Outlook window. Purchase a license to continue using Filer.

If you don't plan to purchase a license, simply uninstall Filer (it appears on the list of installed programs as Xiant Filer).
If I decide to stop using Filer, what happens to my filed email and folder structure?
Filer leverages Outlook's underlying folder structure, so uninstalling Filer (or having it expire at the end of the trial period) does not affect your mailbox; any folders you created or messages moved while using Filer remain in place.

How much does Filer cost?
A single Filer license costs $19.95. Discounts are available for volume purchases.


MAILBOX SUPPORT

In addition to my personal mailbox, I also serve as a delegate for someone else's mailbox. Does Filer support delegate mailboxes?
Yes, Filer supports delegate mailboxes by maintaining separate filing recommendations and Topics for each mailbox. When filing messages in your personal mailbox, Filer won't recommend folders from the delegate mailbox (and vice-versa).
I use Outlook to access my Webmail (Gmail, Hotmail, or Yahoo!) email account. Does Filer work with these sorts of accounts?
Filer is compatible with any of the email protocols supported by Outlook. This includes Webmail accounts, for which you can establish a POP (Gmail, Hotmail, and Yahoo!, among others), IMAP (Gmail), or HTTP (Hotmail) connection in Outlook.
I am a Microsoft Exchange user. Can I use Filer with my Microsoft Exchange mailbox when operating in Cached Exchange Mode?
For Microsoft Exchange users, Filer supports both online Exchange and Cached Exchange Mode.
I have a Personal Folder file (.pst) that I use to archive my email. Can I prevent Filer from recommending folders in this .pst?
Yes, if you have multiple Outlook data sources, you can exclude secondary mailboxes or Personal Folders files (.pst) from Filer's folder recommendations. Only the default mailbox and any delegate mailboxes are required.

Manage these exclusions on the Message Filing tab of the Xiant Filer Options dialog.


USING FILER

After I upgraded Filer, I noticed that the displayed filing actions have changed: now I see two additional filing actions (Move Previous from Sender and Move Previous from Thread). How do I change the Filer user interface so that it appears as it did before?
You can customize the File user interface on the Customize Commands tab of the Xiant Filer Options dialog.
The Xiant Filer user interface displays filing actions that I don't use. Can I customize Filer to show only certain filing actions?
Yes, but only if you are using the latest version of Xiant Filer, which allows you to customize the appearance of the toolbar or Ribbon in Outlook. Only the move message filing action is required.

Similarly, you can also modify the number of quick pick buttons that Filer displays for each filing action. You might display additional quick picks to increase the likelihood that you can file a selected message with a single click. Alternatively, decrease the number of quick picks to conserve space on the toolbar or Ribbon. Note that changes you make to the displayed filing actions and quick picks also appear on the shortcut menu available by right-clicking a message (unavailable in Outlook 2003).

To customize the Filer user interface, go to the Customize Commands tab of the Xiant Filer Options dialog. If you don't see this tab and would like to customize Filer, upgrade to the latest version of Filer by selecting Check for Updates from the Xiant Filer menu or Ribbon tab in Outlook. The upgrade is free.
How do I file all messages I have received from a specific sender?
Filer offers a move from sender filing action, which moves all messages from the sender of a selected message to a destination folder.

Note that a move previous from sender variation is also available for this filing action, which moves all messages received from the sender prior to the selected message. For Outlook 2003 users, this filing action is only available from the Xiant Filer menu in the Outlook window.
Can I file multiple message threads simultaneously?
Yes, Filer allows you to move multiple threads simultaneously. To do so, select multiple messages (at least one from each of the threads you want to move) and then perform a move thread action.

Note that a move previous from sender variation is also available for this filing action, which moves all messages received from the sender prior to the selected message.
Can I use Filer to automatically file email?
Yes, an optional automatic filing feature moves email received in the inbox from a particular sender to a designated folder. As part of this feature, you can also specify a delay of anywhere from 5 minutes to two weeks before Filer moves received messages from that sender. Before you can set up automatic filing, you must first enable the feature on the Xiant Filer Options dialog.

To set up automatic filing for a sender, select a message in the Outlook message list from the sender, then select Automatic Filing by Sender from the Xiant Filer menu or Ribbon tab.
When I file a message thread, how do I include messages from my "Sent Items" folder as well?
The first time you use Filer to move a message thread, Filer displays a dialog asking if you would like to include Sent Items as well. To make this behavior permanent, select the Remember my answer check box and click OK.

Alternatively, you can also modify this feature on the Message Filing tab of the Xiant Filer Options dialog.
I typically file email to the "Deleted Items" folder in Outlook, but Filer never recommends this folder. How do I configure Filer so that it recommends "Deleted Items"?
By default, Filer excludes system folders such as "Deleted Items" and "Drafts" from its recommendations. You can change this behavior from the Xiant Filer Options dialog: on the Message Filing tab, select the Include Deleted Items folder check box.
After I use Filer to move messages, can Filer automatically mark the messages as having been read?
Yes, but this is an optional setting. You can configure this behavior from the Xiant Filer Options dialog: on the Message Filing tab, select the Mark messages as having been read check box.
I don't use Filer's Topics feature. Can I disable Topics?
Yes, you can disable Topics on the Topics tab of the Xiant Filer Options dialog.


TROUBLESHOOTING

Filer occasionally prompts me about indexing status. What does this mean?
If you see this prompt, Windows Search (formerly Windows Desktop Search) either isn't installed or isn't configured to index your mailbox. Although strictly optional, indexing your mailbox can improve the performance of Filer.

Filer sometimes requires lots of time to perform certain tasks. Is there a way to speed up Filer's performance?
Certain Filer tasks trigger a search for related email message in your mailbox. These tasks include:
  • Filing a batch of messages (either by thread or by sender)
  • Creating a new Topic
  • Adding message threads to a Topic
While Filer searches your mailbox, Outlook may appear to be unresponsive. Search times will vary depending upon a number of factors, including the size or your mailbox.

You can improve the performance of Xiant Filer by optionally enabling Windows Search (formerly known as Windows Desktop Search) to index your mailbox. After your mailbox has been indexed, Filer searches the index rather than the mailbox, speeding up search times.

The Xiant Filer toolbar or other user interface elements disappeared from Outlook. How do I make Filer reappear?
Filer may have unexpectedly crashed. Restarting Outlook should cause the Filer user interface to reappear. If restarting Outlook does not restore Filer, contact us at Xiant Support for additional assistance.
After I upgraded to Outlook 2010, Filer stopped working. How do I fix this?
If you installed Filer before you upgraded to Outlook 2010, you will need to reinstall Filer. Download and installation instructions can be found here.
